How to Do Takeoff in Bluebeam Revu
Calibrate, measure, read Markups list totals, then Quantity Link to Excel — which needs Complete or Max. The full Revu workflow and where it stops.
The short version: calibrate the sheet first, measure with the Measure tools, read your running totals in the Markups list, and push those totals to Excel with Quantity Link. The catch most people hit is the last step — Quantity Link needs a Complete or Max plan (a Revu eXtreme licence on Revu 20), so on Basics or Core the Excel bridge simply is not there (Bluebeam's documentation).
The workflow in Revu, step by step
1. Calibrate before you measure anything. Bluebeam's own guidance is to calibrate the drawing to a known value before taking a measurement, because PDFs are frequently scaled during creation. Skip this and every number after it is wrong in the same direction, which is the hardest kind of error to spot.
Calibrate per sheet, not once per file. A drawing set often mixes scales between plans, sections and details.
2. Measure with the right tool for the quantity. Length for runs, area for slabs and finishes, volume where depth matters, and the Count tool for repeated symbols — fixtures, downlights, sprinkler heads. Counts are takeoff too, and doing them by hand on a dense sheet is where the day disappears.
3. Read the totals in the Markups list. The Markups list shows a running total of all measurements of the same type in the document, at the top of the Measurement column, and it updates as you add more. This is the part people miss: you do not need to export anything to see where a quantity stands.
4. Add custom columns if you want costs. Revu supports Custom Columns in the Markups list — a Choice column holding materials and their base rates, and a Formula column that multiplies out. That turns a quantity list into a rough cost sheet without leaving the PDF.
5. Push totals to Excel with Quantity Link. Quantity Link transfers measurement totals from a local PDF into an Excel spreadsheet in real time, with filters so you send only what you need. It is genuinely good, and it is the step gated behind the higher tiers.
The edition trap
This is where takeoff in Revu gets frustrating for smaller contractors. Measuring, counting and the Markups list work across editions. Quantity Link — the live Excel bridge — requires Complete or Max. On Revu 20 it needs an eXtreme licence.
So a contractor on Basics can take off perfectly well, then hits a wall at exactly the point the numbers need to become a priced bid, and the answer is either a manual export or an upgrade. Worth knowing before you plan a workflow around it.

Three habits that make Revu takeoff less painful
- Calibrate every sheet, and say so. Write the calibration into your process rather than trusting the last person.
- Separate your measurement types by layer or subject so the Markups list totals stay meaningful. Mixed subjects give you a total of unlike things.
- Flatten late. Flattening mid-job makes markups uneditable, and unflatten only works if Allow Markup Recovery was ticked at flatten time.

And if your team lives in Studio Sessions, tool chests or advanced PDF editing, stay on Revu; no lighter tool replaces those, which we say plainly on the comparison page.

Can I do takeoff in Bluebeam Basics? Yes — measuring, counting and Markups list totals all work. What Basics lacks is Quantity Link, so getting totals into Excel is manual.
Why are my Revu measurements wrong? Almost always calibration. Check the sheet was calibrated, and that you calibrated the sheet you are measuring rather than a different page in the set.
Does the Markups list total update automatically? Yes. Bluebeam documents it as a running total per measurement type that updates as markups are added.
Can I count symbols and measure lengths on the same sheet? Yes, in both tools. Keep them as distinct subjects so your totals stay readable.
